Program PMO Coordinator/Control Officer – BP

Program PMO Coordinator/Control Officer

Typical Day in Role:
-Act on the instruction of the Program Lead and/or PMO leadership to provide requisite PMO support to Delivery Teams, Business Readiness/ Change Management Teams & Pilot/Production Validation Teams, vendor Readiness and Conversion Stream Leads.
-Support the Program PMO across all dimensions of Project controls including but not limited to (Project Scheduling, Financial Controls & Management, RAID Management, Governance Modeling, Resource Control, Sow/Contracts Administration etc.)
-Act as Investment Owner (IO) Delegate to Program Director or Program Manager, for Project OP Code Management and CAPPM Project book of records reporting update
-Working in concert with and guidance of the Programs PMO Senior Manager, manage assigned Project OP financials to budget and within expected variance tolerances
-Primarily responsible for vendor invoice processing and tracking against approved contract value
-Own the timely re-baselining of project forecast as well as accruals on a monthly recurring basis, as part of the banks cashflow planning
-Work with the Programs Vendor Readiness Lead for effective engagement with respective vendor relationship managers to ensure timely capture of Change Requests, monthly forecast, invoicing and necessary artefacts to support the accrual process
-Prepare and present monthly OP financial analysis in support of all dimensions of upstream program reporting
-Process any Project Change Requests (PCR) as required as part of the Project OP Management
-Serve as backup when required for the Programs PMO Senior Manager.
-Support annual cycles and/or ad-hoc Business Case funding submissions
-Participate in audit readiness and support audit engagement activities
-Responsible for end-to end program resource management against assigned OP including but not limited to Resource Onboarding and Offboarding inc. Asset Requests and Retrievals, Tenure Exemption Requests etc.
-Own and Manage program/PMO Master RAID log. Facilitate risk and issues triage/escalation calls. Capture and track Program level Action and Decisional items, where necessary follow up with action item owner
-Own and maintain the inventory of active vendor contacts on the Program and ensure reporting slides for steercos are updates in time.
-Support drafting of monthly cadence of executive governance & program reporting decks
-Content Management of critical program artefacts on SharePoint. Own and manages access prioritization to program folders
-Manage PMO Mailbox Calendars
-Own and maintain programs stakeholder registry & distribution lists, ensuring adequate and timely referencing for program communique
– Ensure CAPPM is updated monthly or as when required.
– Support Program Manager in managing the Project Change Notifications workflows and approval process
-Support PMO preparation of ad-hoc reporting slides/analysis for upstream engagement or at the request of the Program Leadership
-Support Program Manager to compile weekly metrics reports and weekly Joint Program deck’
-Participate on key program meetings and own responsibility for capturing minutes of meetings

Candidate Requirements/Must Have Skills:
1) 5+ years of Project management experience with strong acumen in financial management
2) 2+ years of experience with cost & forecast planning within traditional Waterfall and Agile projects
3) 2+ years of Experience running cost planning meeting with business & technology stakeholders inc. Dev/QA Engineering teams
4) Strong Proficiency with MS Tools (PPT, Excel – pivot tables, macros, etc., MS Project)

Nice-To-Have Skills:
1) Experience working on a fast-paced multi-year strategic initiative
2) Knowledge of project management & planning tools (e.g., CA PPM, SMS, etc.) is strongly preferred
3) Financial Services Industry Experience
4) Project Management certification
5) Familiarity with Agile tools (Jira/Confluence, Leankit/Miroboard)
